How to respond to a faculty invitation on Medvento (for speakers)
If a society invited you to speak at its event on Medvento, here is how to confirm or decline, which details you can update and what happens next.
If an organization invites you to speak at its event on Medvento, you receive an email with a button, Confirm or decline your participation. Select it to open a page where you check your details and choose Confirm participation or Decline. You do not need an account or a password. Your answer goes to the organizers. This guide is for invited speakers. Organizers should read how to invite faculty.
Before you start
- Find the invitation email. It is titled "You're invited as" followed by your role and the event name. Check your spam folder if it is not in your inbox.
- Keep the link private. It is personal to you.
- Check your dates before you confirm.
Step 1: Open your link
The page is titled Respond to your faculty invite and says "Let the organizer know whether you can participate." It shows the event name, the organization's logo, and your name and email.
If you see "Invalid invite link", the link is wrong or incomplete. Ask the organizers to send a new one.
Step 2: Check your details
You can review and update these fields, all optional: phone, designation, speciality, qualification, institution, address, city, state, country, pincode and notes. They are filled in from what the organizers already have. If you clear a field and confirm, the old value is kept, so ask the organizers to change it if you need it removed.
You cannot upload a photo or write a biography on this page. The organizers enter those for the event page.
Step 3: Confirm or decline
- Select Confirm participation. You see "Thanks, your participation is confirmed. The organizer will follow up with your session/track assignment."
- Or select Decline. You see "You've declined this invite. Thanks for letting the organizer know."
Decline is final from your side. There is no way to change your mind on this page. If you decline by mistake, contact the organizers and ask them to invite you again.
If you open your link again after answering, it tells you the invite has already been responded to.
What happens next
The organizers see your answer and, if you confirmed, may assign you to a session or topic. Medvento does not send you a separate confirmation email. If you confirmed, the organizers decide your role, such as chairperson or speaker. Contact them for any detail about your slot.
If you are shown on the event's public page, it shows your name, photo, role, designation and institution, and the sessions you are in. It does not show your phone, email or address.
Your privacy
The organization that invited you controls how your details are used. Ask them if you do not agree to your photo or details being published. You can also ask the organization to show, correct or delete your data through the data request form linked from its pages.
