Team roles and permissions: what owners and staff can do on Medvento

Medvento has two roles, owner and staff. See what each can do across events, money, compliance and the team, and how to invite, change or remove members.

Every member of a Medvento organization is either an owner or staff. Staff can run events day to day. Owners can do everything staff can, and they alone handle money, legal and compliance details, and the team. An organization can have several owners, and it always keeps at least one.

Staff do not see the Team section in the sidebar, and see only a short notice on the Billing page.

These rules apply to every organization:

  • An organization can have more than one owner. All owners have equal standing.
  • An organization always keeps at least one owner. Medvento will not let you remove the last owner or change their role to staff.
  • Each person belongs to one organization. An email address that already belongs to an organization cannot be invited to another.

Give people the lowest role that lets them do their job. Owners can see your organization's sensitive identifiers and money, so make someone an owner only if they need that.

Invite a team member

Only owners can do this. The person you invite joins with the role you choose.

  1. Sign in to Medvento as an owner.
  2. In the left sidebar, click “Team”.
  3. In the “Invite a teammate” card, enter the person's email address in the “Email” field.
  4. In the “Role” field, choose “Staff” or “Owner”. The default is Staff.
  5. Click “Send invite”.
  6. Check that the message “Invite sent to” followed by the address appears, and that the person is listed under “Pending invites”.

Medvento emails the person a link. The invite expires after 7 days, and there can be only one pending invite per email address. You cannot invite yourself.

Accept an invite

Do this if you received an invitation email.

  1. Open the invitation email from Medvento and click the link.
  2. If you are not signed in, enter your email address in the “Email” field and a password in the “Password” field. If you are already signed in, skip this step.
  3. Click “Accept invite”.
  4. If Medvento asks you to confirm your email address, open the confirmation email it sends and click the link in it.

Once the invite is accepted, you are a member of the organization with the role you were invited as.

Change a member's role

Only owners can do this.

  1. In the left sidebar, click “Team”.
  2. Under “Members”, find the person's row.
  3. Open the role menu in that row, which shows “Staff” or “Owner”.
  4. Choose the new role.
  5. If you are making the person an owner, read the confirmation that asks whether to make them an owner, and confirm it.

Remove a member

Only owners can do this. Removing a member takes away their access to the organization.

  1. In the left sidebar, click “Team”.
  2. Under “Members”, find the person's row.
  3. Click “Remove” in that row.
  4. Confirm the prompt that asks whether to remove the person from the team.

If the person is the only owner, Medvento refuses and shows an error. Make someone else an owner first.

Can staff publish an event page or send a campaign?
