Getting started

What is Medvento?

Medvento is event management software for medical societies and associations in India. It covers registration, event pages, faculty, abstracts, session check-in, CME certificates and campaigns. See what Medvento is.

Do I need approval to sign up?

No. Signing up is self-serve. You confirm your email with a 6-digit code, name your organization and choose a plan. See how to sign up.

What do I have to do before my first event?

Publish your compliance details, which generates your Privacy Policy. Registration cannot open until it is published. See compliance details.

How do I get help?

Open Support in the app and raise a ticket, or write to support@medvento.com. Support works even when your plan has lapsed. See how to get help.

Your team

What roles are there?

Two: owner and staff. Owners also manage billing, compliance details and the team. See roles and permissions.

Can an organization have more than one owner?

Yes. There must always be at least one.

Events, tickets and registration

Can I copy an event from last year?

Yes. Cloning copies tickets, price slabs, the abstract window, topics and page settings into a new edition, but never registrations or abstracts. See create an event.

How do delegates pay?

Today, paid tickets are paid directly to your organization by bank transfer or UPI. The delegate sends their payment reference and you confirm it against your bank statement. Online card payment through Medvento is not available yet. See tickets and payment.

Does Medvento hold delegates' money?

No. Money goes straight to your own account, and refunds are made by you.

Can I charge early-bird and late fees?

Yes, with up to 10 price slabs, each with an end date and a price per ticket.

What is the difference between Publish and publishing the event page?

Publish in the event header opens registration. The event's web pages are published separately from the Pages tab, Registration page first. See build and publish an event page.

Why can't I open registration?

Your Privacy Policy is not published, or the registration deadline has passed. See create an event.

Faculty and abstracts

How do I invite speakers?

Add them to your faculty directory or invite them from the event's Faculty tab. They get a personal link to confirm or decline, with no account needed. See invite faculty.

How do authors submit abstracts?

With a personal link that you copy or email to each registered delegate or invited faculty member. There is no single public link. See abstracts.

How are abstracts reviewed?

One reviewer per abstract accepts or rejects it, and the decision is final. Medvento does not email the author the result, so you tell them.

Check-in and certificates

How is attendance recorded?

By session QR codes, which work while the event is Live, or by ticking Checked in on the roster. See QR check-in.

Who gets a CME certificate?

Confirmed delegates with attendance evidence, once the event is post-event and the credit works out above zero. Certificates are emailed automatically, usually within about 5 to 10 minutes for a small event. See CME certificates.

How can anyone verify a certificate?

By scanning its QR code. The verification page says Valid, Revoked or cannot be verified. See receive and verify a certificate.

Can I email or WhatsApp my members?

Yes, with campaigns. You must have their consent, and every email carries an unsubscribe link. See campaigns and contact lists and consent.

No. When you import contacts you attest that you have consent. Medvento records it but cannot verify it, and it does not stop you selecting a list without a consent record. See privacy and consent for organizers.

What happens when someone unsubscribes?

Medvento stops sending your campaigns to that address. A WhatsApp STOP reply blocks all your organization's WhatsApp messages to that number. You see counts only.

Website and domains

Do I get a website?

Yes. Every organization has a home page at medvento.com. You can edit it and publish your own version. See your website.

Can I use my own domain?

Organizations on a paid subscription can connect a domain they own, or choose a your-name.medvento.com subdomain once. See subdomain and custom domain.

Billing

Is the plan a monthly subscription?

No. It is a one-time payment for a full year. See plan, billing and GST invoices.

What happens when my plan lapses?

Your organization becomes read-only until an owner renews. Your public pages and registrations stay live. Check-in, billing, team access and data requests keep working.

Where are my GST invoices?

On the Billing page, usually within about 15 to 30 minutes of a confirmed payment. Only owners see them.

Can I refer another society?

Yes. If it pays within 30 days of signing up, you earn a free month. See the referral program.

Privacy

Who is responsible for delegates' personal data?

Your organization decides why it is collected, so the duty to protect it and explain its use is yours. See privacy and consent for organizers.

What if a delegate asks to delete their data?

They use the data request form on your public pages. Medvento's team handles the request and notifies your owners. Some records, such as CME records and financial records, are kept.
